When you specify the role, the context, the task, the format, and the constraints, you eliminate most of the possible "most likely" responses and leave only the ones that match your actual need. The analogy is working with a brilliant consultant. If you walk into the room and say "help me with my business," the consultant has to ask ten clarifying questions before they can even begin to be useful. If you say "analyse our Q1 customer churn data, identify the top three contributing factors, and recommend specific retention interventions for each — presented as a one-page executive briefing," that consultant can deliver exactly what you need without a single clarifying question. The more specific your brief, the better the work. This is as true for AI as it is for human experts.
Role — who the AI should act as. Context — the background information it needs. Task — what specifically you want it to do. Format — how the output should be structured. Constraints — what to include, exclude, or avoid. Not every prompt needs all five, but the more elements you include, the more precisely the output matches your need.
Role is the most underused element. Prefacing a prompt with a specific role assignment — "You are a senior B2B sales copywriter with 15 years of experience writing email sequences for SaaS companies" — activates the AI's training on that body of expertise. The model draws more heavily on patterns from that domain. The result reads like it was written by someone who has done this specific thing many times, not like a generic attempt at something adjacent. Role prompting is particularly powerful for specialist tasks: legal clause analysis, financial modelling commentary, technical documentation, medical information summaries, negotiation scripts.
Context is the background the AI needs to give you a relevant answer rather than a generic one. Your company, your industry, your audience, the situation, any relevant history, constraints you're working within. Context is what separates "write me a LinkedIn post" from "write me a LinkedIn post for Qynzoo, an AI automation agency serving SMEs in the Netherlands, announcing that we've just helped a client automate their invoice chasing process — saving them 8 hours per week. Tone: authoritative but approachable. Audience: small business owners who are curious about AI but not technical." Those two prompts produce outputs from entirely different quality brackets.
Task should be a specific, unambiguous action verb followed by a clearly scoped deliverable. "Write," "analyse," "summarise," "compare," "generate," "rewrite" — each of these is a different cognitive operation. "Help me with" is not a task; it is a request for the AI to guess what task you want done. Specify not just what you want created, but the precise scope: "Write a 3-email follow-up sequence for prospects who attended our webinar but did not book a call, to be sent at days 2, 5, and 10 after the webinar."
Format tells the AI how to structure the output, which is crucial for usability. An output formatted as a wall of text is almost always less useful than one formatted as clearly labelled sections, a table, a numbered list, or a set of email templates with subject lines. Specify the format explicitly: "Output as a markdown table with four columns: Task, Owner, Deadline, Status." Or: "Format the output as three separate emails, each with a subject line and body text, separated by a horizontal rule." Well-specified formats produce outputs that plug directly into your workflow without any reformatting work.
Constraints are the guardrails — what to include, exclude, or avoid. Negative constraints are often as powerful as positive ones. "Do not use jargon," "keep each section under 100 words," "do not recommend third-party tools we don't endorse," "write in second person only," "do not begin any sentence with 'I'," "avoid cliches like leveraging synergies or thinking outside the box." Few-shot prompting means showing the AI two or three examples of the output you want before asking it to produce its own. For meeting notes: "Summarise this transcript in the following format: three-sentence executive summary, followed by a table with columns: Decision | Owner | Deadline | Notes, followed by a numbered list of open questions." For competitive analysis: "Output as a markdown table with columns: Feature | Our Product | Competitor A | Competitor B | Winner." The more precisely you specify the format, the more directly you can use the output.
Constraints prevent the AI from defaulting to its most generic, safest interpretation of your task. Without constraints, prompts about email writing produce emails that begin "I hope this email finds you well."
